How to Change the FROM address in Outlook

This instructional guide is to demonstrate how to change the FROM address in Outlook.
NOTE: There are view permissions and send permissions for mailboxes. Please make sure that you have both permissions before attempting the instructions below, otherwise you may encounter issues that will prevent you from sending emails. If you require assistance with changing your permissions to a mailbox, please contact your IT Team. If your company does not have an IT Team, contact us!

Begin by opening the Outlook Desktop App on your computer or laptop and starting a new email or replying to an existing one. While in your email draft, click the ‘Options’ tab at the top left corner.
NOTE: When replying to an email, you will want to “pop out” your draft by clicking the ‘Pop Out’ button in the right corner of your draft.
Click the 3 dots located in the toolbar below the ‘Options’ tab and click the ‘From’ option. This will add the From section to your emails.
To change the From address, click the From button in your draft. A pop up message will to allow you to type the email address in that you would like to be sending from, or you can choose from your address book by clicking the “From…” button on the left side of the pop up message.
Once you have entered the address, click ok. You will see the From section of the email change from your email address to the one you requested to be sending from. You can now compose and send an email from this address.
NOTE: Your address will always be the default for emails. You must select the desired email address each time you want to use it. However, once you have sent from the address once, it can be quickly accessed by clicking the ‘From’ button in your draft and you will not have to re-enter it again unless you delete it from the options by clicking the ‘X’ next to it.

As of January 18th, 2024, there are no major differences in the iOS (Apple) and Android versions of the Outlook mobile app.
To change the From address of your emails in the mobile app, you will need to add the shared mailbox or account to your profile. Begin by opening the app and clicking the icon next to inbox. Click the gear icon in the bottom left to open your app settings.
Click ‘Add Mail Account’. Then click ‘Add Shared Mailbox’.
Select your account that is tied to the Shared Mailbox (typically this will be your work account). Then type in the address of the Shared Mailbox and click the ‘Add Shared Mailbox’ button.
The Shared Mailbox was successfully added if you see it listed under your Mail Accounts.
To change the From address after adding the Shared Mailbox, start a new email or reply to an existing one.
NOTE: For replying to an existing email, you will need to either click the full screen arrow OR the reply arrow then ‘Edit or View Recipient’ to access the From section of the email (see below).
From your draft, you can click the ‘New Message’ or ‘Reply’ section that will have your email below it.
Click the address that you would like to send the email from. This will change the email listed below the ‘New Message’ or ‘Reply’ section of your email. You can now send an email from this address.
NOTE: The address of your selected or primary account in the Outlook mobile app will always be the default when sending emails. You must select the desired email address each time you want to use it.

Begin by navigating to Outlook in your preferred browser, logging in if required, and clicking the ‘View’ tab in the top at the top of the screen. The View toolbar will appear below the ‘View’ tab. Click the ‘View Settings’ button on the left side of the toolbar.
A Settings window will pop up. In this window, click ‘Compose and reply’. Lower on the right section of the window (you may need to scroll down), you will see an ‘Always show From’ checkbox. Click the checkbox then click “Save”. This will add the From section to your emails.
To change the From address, start a new email or reply to an existing one. Next to the ‘Send’ button you will see From:(your email address). Click on your email address and a dropdown will appear. Click ‘Other email address’. Outlook will provide some suggestions for you, if the email is listed, you can selected if from the suggestions. If the email is not listed, simply type the address into the From section and press Enter on your keyboard.
You will see the From section now has the email address you requested entered. You can now compose and send the email from this address.
