How to Change the FROM address in Outlook

This instructional guide is to demonstrate how to change the FROM address in Outlook.

NOTE: To proceed, ensure you have both view and send permissions for the mailbox. Without these permissions, you may encounter issues that block you from sending emails. If you need help adjusting your mailbox permissions, reach out to your IT Team. Don’t have an IT Team? Contact Us!

Desktop App

How to Change the FROM address in Outlook Desktop App: Begin by opening the Outlook Desktop App on your computer or laptop and starting a new email or replying to an existing one. While in your email draft, click the ‘Options’ tab at the top left corner.

NOTE: When replying to an email, you will want to “pop out” your draft by clicking the ‘Pop Out’ button in the right corner of your draft.

Click the 3 dots located in the toolbar below the ‘Options’ tab and click the ‘From’ option. This will add the From section to your emails.

To change the From address, click the From button in your draft. A pop up message will to allow you to type the email address in that you would like to be sending from, or you can choose from your address book by clicking the “From…” button on the left side of the pop up message.

Once you have entered the address, click ok. You will see the From section of the email change from your email address to the one you requested to be sending from. You can now compose and send an email from this address.

NOTE: Your address will always be the default for emails. You must select the desired email address each time you want to use it. However, once you have sent from the address once, it can be quickly accessed by clicking the ‘From’ button in your draft and you will not have to re-enter it again unless you delete it from the options by clicking the ‘X’ next to it.

Mobile App

How to Change the FROM address in Outlook Mobile App: As of January 18th, 2024, there are no major differences in the iOS (Apple) and Android versions of the Outlook mobile app.

To change the From address of your emails in the mobile app, you will need to add the shared mailbox or account to your profile. Begin by opening the app and clicking the icon next to inbox. Click the gear icon in the bottom left to open your app settings.

Click ‘Add Mail Account’. Then click ‘Add Shared Mailbox’.

Select your account that is tied to the Shared Mailbox (typically this will be your work account). Then type in the address of the Shared Mailbox and click the ‘Add Shared Mailbox’ button.

The Shared Mailbox was successfully added if you see it listed under your Mail Accounts.

To change the From address after adding the Shared Mailbox, start a new email or reply to an existing one.

NOTE: For replying to an existing email, you will need to either click the full screen arrow OR the reply arrow then ‘Edit or View Recipient’ to access the From section of the email (see below).

From your draft, you can click the ‘New Message’ or ‘Reply’ section that will have your email below it.

Click the address that you would like to send the email from. This will change the email listed below the ‘New Message’ or ‘Reply’ section of your email. You can now send an email from this address.

NOTE: The address of your selected or primary account in the Outlook mobile app will always be the default when sending emails. You must select the desired email address each time you want to use it.

Web App

Begin by navigating to Outlook in your preferred browser, logging in if required, and clicking the ‘View’ tab in the top at the top of the screen. The View toolbar will appear below the ‘View’ tab. Click the ‘View Settings’ button on the left side of the toolbar.

A Settings window will pop up. In this window, click ‘Compose and reply’. Lower on the right section of the window (you may need to scroll down), you will see an ‘Always show From’ checkbox. Click the checkbox then click “Save”. This will add the From section to your emails.

To change the From address, start a new email or reply to an existing one. Next to the ‘Send’ button you will see From:(your email address). Click on your email address and a dropdown will appear. Click ‘Other email address’. Outlook will provide some suggestions for you, if the email is listed, you can selected if from the suggestions. If the email is not listed, simply type the address into the From section and press Enter on your keyboard.

You will see the From section now has the email address you requested entered. You can now compose and send the email from this address.

NOTE: Your address will always be the default for emails. You must select the desired email address each time you want to use it. However, once you have sent from the address once, it can be quickly accessed by clicking the ‘From’ button in your draft and you will not have to re-enter it again unless you delete it from the options by clicking the ‘X’ next to it.

Firstly, you need to open chrome on your computer, tablet, or smartphone to begin the process to install the uBlock Origin extension in Chrome.

In the address bar at the top of the screen or in the search box, type “chrome web store” and press Enter.

From the search results that appear, click Chrome Web Store to be directed to the website.

Search for uBlock Origin

Once you are on the Chrome Web Store website, click inside the search extensions and themes box located in the upper right corner.

Next, type “uBlock Origin” into the box.
You can either click the uBlock Origin extension directly from the popup window of results or you can press Enter and select the uBlock Origin extension from the search results.

NOTE: To clarify, you want to make sure you select uBlock Origins. You DO NOT want to select uBlock or uBlock Origin Lite.

Add to Chrome

From the uBlock Origin extension page, click the blue button labeled ‘Add to Chrome’ near the upper right portion of the screen.

A small pop-up message will appear similar to the one below.

Lastly, click ‘Add extension’ to install uBlock Origin.

Ensure the extension is active

In case you do not see the extension in the upper right corner of your browser after installation, click the ‘Extensions’ icon (represented by a puzzle piece).

If the uBlock extension appears in the ‘Extensions’ pop-up window, it is installed and active.

If the uBlock extension does not appear, click manage extensions. This will redirect you to your Chrome extensions page.

When in your Chrome extensions page, ensure you see the uBlock Origin extension.

If you do see the extension, make sure the slider within its box is to the right (the slider will be blue). This position means the extension is active.

However, if you do not see the extension, please attempt to install the extension again by following the steps outlined above.

Once the extension is installed and active, no other actions are needed. You can resume using Chrome as per usual.

How to attach SharePoint files as links in Outlook

Discover an easier way to attach SharePoint files as links in Outlook.
Some benefits of sharing SharePoint file links instead of attaching them directly to an email include:

- simplifies collaboration
- makes it easier for everyone to access and work on the same file (including at the same time)
- saves space in the user’s email
- keeps versions consistent for everyone involved
- ensures security by granting controlled access to the file.

This guide provides step-by-step instructions for 3 different ways to attach SharePoint links to an email in Outlook.

NOTE: The file you are attempting to share a link to MUST be saved within SharePoint prior to attempting these options. If the file is not saved to SharePoint, you may experience different pop-up windows, possible error messages, or potential prompts to save the document prior to sending.

Within Microsoft Apps (Word, Excel, PowerPoint, etc.)

Begin by opening the file in the necessary Microsoft app and click ‘File’ in the upper left corner

Next, in the banner on the left, click ‘Share’

Then, a Share “file name” pop-up window appears.

While in this window, you have two options:
Send directly from the Microsoft app.
Click inside the top box to find a list of people within your organization that you can send the link to.
Select the individual(s) to add them. You can also add a message, but this is optional.

Once you are finished, click send.

A new message confirming the link has been shared appears. Click the X in the top right corner of the message to close it.

The recipients of your file share receive an email similar to the one below. The file opens within the necessary Microsoft web-based app.
Copy the link and paste into an email within Outlook (desktop app)
From the share window, click ‘Copy Link’. A small box appears to confirm the link has been copied.

Open your existing draft, reply, or new email in Outlook. There are two main ways to paste the link into the email CTRL+V or Right-Click.
CTRL+V
If you click into the area to write your message and press CTRL+V, the link appears as the file name like in the example below.

You may also see a small pop up window. Click anywhere within the email to dismiss.
Right-Click
If you right-click in the area to write your message, you can click one of the paste options.

Keep Source Formatting: This option pastes the link as the file name with default font and sizing (Font Calibri size 11 is the standard for most).

Merge Formatting: This option pastes the link as the file name and matches the font and sizing of your email.

Keep Text Only: This option pastes the link as the file path and matches the font and sizing of your email.

NOTE: If you do use the Keep Text Only paste option, you MUST press Enter, Tab, or Space to turn the text into a link. You know the text is a link when it turns blue and is underlined. You may also see a small Microsoft app icon appear at the beginning of the file path.

Within Microsoft Outlook (desktop app)

If you have recently opened the SharePoint file you are wanting to send in an email. You may have the option to attach the link directly from Outlook.
Start by opening a draft, reply, or new email in Outlook and ensure you are under the ‘Message’ tab that is located near the top right corner.

In the banner below the ‘Message’ tab, click the paperclip icon.

This reveals some recent items that you have opened. Locate the SharePoint file you want to share in the email. Make sure the file icon includes a cloud and click the file to attach it to the email.
NOTE: In the event that the file icon DOES NOT have a cloud, it is a ‘local’ file and attaches to the email as a copy that does not update with the SharePoint file and needs to be downloaded by the recipient for them to edit.

If the file icon does include a cloud, the pop-up message below appears. Click ‘Share Link’
The link attaches to the email like a normal attachment. However, you want to double check that the attachment icon includes a cloud.

NOTE: A warning similar to the one below may appear stating that you do not have permission to give others access to the file. When you share the file with an individual within your organization who also has access to the SharePoint site, the warning can be dismissed. When you are needing to share the file with an individual outside your organization, you can click ‘Attach as Copy’. If the individual outside your organization is needing to have access to the SharePoint file for co-editing and continuous access, please contact your IT team about granting the individual access to the file.

From the SharePoint site (web version)

Navigate to your organization’s SharePoint site within your preferred web browser. Within the SharePoint site, locate the file you are wanting to share.
There are several options for attaching the file link to an email from the SharePoint site though they are all very similar.
NOTE: These options only work if the individual you are sharing the file with is within your organization and has permission to access the SharePoint site. If the individual is not within your organization and only needs limited access, consider sending them a copy. On the occasion that the individual is within your organization and does not have access or if the individual is outside your organization but they need access to the SharePoint file for co-editing and continuous access, please contact your IT team about granting the individual access to the file.

Three Dots
On the right side of the file name are three dots. Click the three dots for a pop-up window to appear.

While in this pop-up, you can highlight the link path within the small text box and right click to copy it. Then open your draft, reply, or new email and paste the path into the email.

NOTE: You need to make sure you copy the entire path to avoid any potential issues with sharing the file.
Share Button
Additionally, you can click ‘Share’ in the pop-up window to be provided three options for sharing the file.
Invite People
This option allows you to create a list of individuals to send the file link to.
Click inside the top large box and begin typing the name or email address of the individual in your organization that you would like to share the file with.
Then, select the individual from the options that pop up to add them. Their name is underlined and has an ‘X’ on the right side when you successfully add them to the list.
You may add a message, but this is optional.
Once you are finished, click share.

The pop-up message closes automatically, and a small banner message appears in the top right corner of the SharePoint site, confirming the sharing of the file. This message disappears automatically.

The recipients of your file share receive an email similar to the one below. The file opens within the necessary Microsoft web-based app.
Get a Link
This option allows you to highlight the link path within the small text box and right click to copy it. Then open your draft, reply, or new email and paste the path into the email with either CTRL+V or Right-Click.
NOTE: You want to make sure you copy the entire path to avoid any potential issues with sharing the file.
Share With
This option allows you to see everyone who has access to the file and allows you to email everyone simultaneously. Click ‘EMAIL EVERYONE’ to send out this email.
Drag and Drop
You can drag and drop files directly from the SharePoint site into an Outlook email. First, hold left-click on the file name on the SharePoint site. While still holding the left mouse button, drag the mouse to the open draft, reply, or new email. Then, when your mouse is in the message area of the email, release the left-click. The file link appears in the email. The video below provides an example.

How to Encrypt Emails in Microsoft Outlook

Learn how to encrypt emails in Microsoft Outlook by following these active steps.

NOTE: Before proceeding with these instructions, you must have the encrypted email feature configured.

If your company is needing an IT Team to assist with email encryption or other cybersecurity support, contact us!

To mark a message as encrypted, simply type [Secure] in the subject (capitalization doesn’t matter).

Alternatively, there is an ‘Encrypt’ button under ‘Options’ in the Outlook toolbar when composing a new message. Click the button and select ‘Encrypt’ to apply encryption to your message (see below).
NOTE: When using the encrypt button, there’s no need to type [Secure] in the subject.

*Your IT Team can configure specific settings, so if you encounter something you don’t like, they can make adjustments.

When sending an encrypted email to another Microsoft Outlook user, the encryption and decryption process occurs automatically. No additional actions are required on the recipient’s end.

How to open Outlook links in Chrome (or any preferred browser)

The following 2-part tutorial will provide step-by-step instructions including screenshots on how to adjust your settings to allow Outlook to open links in Chrome (or another preferred browser).

If you have noticed a sudden change in which browser Microsoft Outlook uses to open hyperlinks, these simple adjustments to Windows and Outlook settings can help you get back to opening the links in the browser you want.

Setting your default browser in Windows

First, you will need to ensure that your preferred browser is set as your default.
In the search bar at the bottom of the screen, type default apps and click the Default apps system settings that appears.
Inside the Default apps, scroll through until you find your preferred browser. For this example, we will be using Google Chrome. Click the preferred browser to open its settings.
Once in the settings, click the Set default button and a check should appear next to the button. You may now close the window by clicking the X in the top right corner.

Setting your default browser in Outlook
Now that your preferred browser is set as the default for Windows, you can set it as the default for opening links in Outlook.
Open the Outlook app on your desktop. In the top right corner click File.
In the Account Information window, click Options in the bottom left corner.
The Outlook Options will pop up in a separate window. In this window, click Advanced from the list of settings on the left side.
Look for the File and browser preferences section. In this section, you will see “Open hyperlinks from Outlook in:” and a dropdown. Click the dropdown and click Default Browser. Lastly, click OK at the bottom right corner to save the settings and close out the window.
After following the steps above, test that the changes were applied by clicking a link in one of your emails.
If the link opened in your preferred browser, then the changes were successful!
If the link did not open in your preferred browser, we suggest closing and reopening Outlook to allow for it to refresh. Test the link again and if it does not open in your preferred browser, please review the above steps to ensure every step was followed.

The file or folder cannot be synced.

Lock

The file or folder has settings preventing it from syncing.
No user action required, unless you are needing the file or folder to sync, then contact your I.T. Team.

How to use Office 365 Report Message Add-In

The Report Message add-in for Outlook and Outlook on the web enables people to easily report misclassified email, whether safe or malicious, to Microsoft and its affiliates for analysis. Microsoft uses these submissions to improve the effectiveness of email protection technologies.

People who have the add-in assigned to them will see the following icons:

In Outlook, the icon looks like this:

In Outlook on the web, the icon looks like this:

If you have a junk or phishing message in your inbox, please click this icon and report it accordingly. Junk/spam is classified as unwanted email – usually an advertisement (nutrisystem, unwanted newsletters, etc). Phishing emails are generally emails with links that prompt you to put in your password or respond in a way that reveals personal information.

If you choose Junk, Phishing, or Not Junk, you’ll have the option to send a copy of the message to Microsoft, along with your classification of the message. Please send a copy to Microsoft as this helps improve their database and protects your company and others from similar spam/phishing. If you are unsure the best category, we suggest marking it as junk. The most important thing is submitting it to the Microsoft database – they can organize it how they see fit on their end.

Microsoft Outlook is Crashing Worldwide Due to An Issue on Office 365’s Servers

Update: This issue has been resolved and it is now safe to restart Outlook.

Microsoft Outlook on Windows is crashing worldwide due to An issue on Office 365’s servers. If you close out of Outlook and you are on the most recent version your Outlook will probably not re-open. Please refrain from restarting Outlook.
This issue is not reported as affecting Outlook on mobile or web.
If your Outlook is not working, please call our office at 859-226-9222 and we can apply a workaround or use webmail (https://mail.office365.com) until the issue is resolved at Office 365.

We will update this page when the issue is resolved.

Ongoing Updates
7/16/2020 @ 8:55AM EST – Issue has been resolved per Microsoft. “We’ve confirmed that the issue has been successfully resolved after extended monitoring of our telemetry. If users are continuing to see impact, please restart your Outlook client for the changes to take effect.” – Microsoft
7/15/2020 @ 6:15PM EST – Most users are not experiencing this issue anymore. We suggest not restarting Outlook until this issue is completely resolved. Per Microsoft “Our service telemetry indicates that the vast majority of customers have received our fix; however, we’re still observing some signs of lingering impact to a subset of users. Users that are still impacted may need to restart their Outlook client for the fix to take effect.”

Dell Laptop BSOD After Windows 10 2004 Update: SYSTEM_THREAD_EXCEPTION_NOT_HANDLED

We’ve run into a few Dell laptops that are getting a BSOD SYSTEM_THREAD_EXCEPTION_NOT_HANDLED

We discovered this is due to the Dell Unified Wireless Suite.
Easy workaround is to rename the folder ‘C:\Program Files (x86)\Dell\Dell Unified Wireless Suite’ to something else via PSExec or some other remote background tool.
You can also boot into safe mode and rename the folder, or if you’re quick enough you may be able to log in normally and open task manager, then disable the Unified Wireless Suite.
